CLUB RULES

Title

The name of the Club is Clapham Chasers

Headquarters

Objective

The object of the Club is the promotion of Amateur Athletics. More specifically, the aim of the club is to bring social, fun and team running to the local area.

Management

The Management of the Club is vested in a Committee consisting of a Chairman, Honorary Treasurer, Honorary Secretary and 6 Other members: all to be elected annually. Five to make a quorum. The Committee has power to fill any vacancies that may arise.

Membership

Membership of the Club is confined to Amateurs as defined by UK Athletics in the Rules for Competition Handbook.

A candidate for Membership must apply in writing on a form provided for the purpose, and be proposed by one Member and seconded by another Member, and elected by ballot at the next ensuing Management Committee Meeting.

Resignation

A member intending to withdraw from the club shall give notice in writing to the Secretary, and his membership terminates on the date of that notice unless he is financially indebted to the club, in which case the Management Committee may withhold acceptance of the resignation until he has discharged his liability. A member not having tendered his resignation prior to the end of their subscription year shall be liable for the ensuing year's subscriptions.

Subscription

The annual subscription of the Club shall be £10.00 payable at the start of each subscription period. Should any membership be declined in the Committee Meeting then the subscription fee will be refunded.

The initial subscription period is one year from the date the form was completed. All following periods will be for further annual periods directly following the termination of the previous year and upon payment of the then due subscription fee’s.

The Committee shall have the power to expel any Member whose subscription is twelve months in arrears provided one months notice in writing shall have been sent to such member by a registered or recorded letter, addressed to his/her last address, informing him/her of the proposed action of the Committee.

The name and address of any person so expelled from a club in the Southern district shall be sent to the South of England AA who shall enter his/her name in a book (to be called "The Suspension Book") to be kept for that purpose. Every person whose name has been entered from competing at any meeting held under the UK Athletics Rules until the liability causing his/her said expulsion, which shall not exceed one year’s subscription, shall have been discharged. If in arrears, the member is ineligible to take part in any competition promoted by the club.

Annual General Meeting

A General Meeting shall be held during the month of November in every year to receive the Committee's report and financial statement, elect Officers and Committees and deal with any other matter specified on the Agenda. The Honorary Secretary must give every member 21 days notice of the meeting, and notice of any business, which is desired to be placed on the agenda, must be given in writing to the Honorary Secretary at least 14 days prior to the meeting.

Special General Meeting

The Honorary Secretary must call a Special General Meeting within 14 days of receipt by him of a requisition in writing signed by at least ten members of the club, stating the business to be brought before such a meeting.

Alteration in Rules

No alteration or addition may be made to the Rules, except by an Annual General Meeting or a Special General Meeting called for the purpose. Notice of any proposed amendment must be given as provided within these rules.

Disciplinary Procedure

Each member should follow the general club etiquette guide also provided by the club. The Club will not accept any form of offensive behaviour.

If it shall appear to the Committee that it is appropriate to caution, suspend or expel any Member, the Committee shall, before confirming such caution, suspension or expulsion, inform the Member in writing of the Committee's intention and the reason therefore, giving the Member reasonable opportunity thereafter to object in writing, or if the Member prefers, by attending the next convenient meeting of the Committee in person, with or without a representative or friend.

Any Member not satisfied with the decision of the Committee can appeal to the Annual General Meeting, or a Special General Meeting called for the purpose.

Injuries

Neither the Club nor the Committee shall be liable for injuries incurred by Club members running on official Club nights or in their own time. Reference to the club's insurance may be appropriate in case of injury.

Accounts

The club shall be deemed as non-profit making and as such any surplus income or gains shall be reinvested into the club. Surpluses or assets cannot be distributed to its members or to third parties.

The Treasurer shall keep the accounts of the Club and shall make up the annual statement of accounts and balance sheet of the Club.
